N2F roles allow users to have access to different features on the app.


There are 4 default roles in N2F

  • User: Role to be assigned to employees entering expense reports who are neither managers nor administrative service. 


  • Manager: Role which permits to enter expense reports, but also to approval the ones from other users.


  • Accountant: Role which enables to check expense reports, to take them in the account, to analyze data. Yet, this role; does not give access to the application settings management.  It is to be used by employees from the administrative service who are not in charge of the settings of the application. 

           If necessary, this role can be restricted to one or a few legal entities. 


  • Administrator: This role can do everything. It is to be assigned to people in charge of the application settings (such as user management, addition of vehicles, fee policy settings, etc…). 

           If necessary, this role can be restricted to one or a few legal entities. 


Role assignment is done directly in the user information sheet: 



Warning: If you want to modify a user's role, you first need to check if this user does not have any actions ongoing on an expense report that has not been taken in the account yet. If you were to modify a role with an action ongoing, this would block the treatment process of the expense report. 


It is also possible to personalize roles in the application.
