Role: User Manager Accountant Administrator


N2F allows you to create roles giving specific accesses and rights to your employees. To find out how to customize roles, please see the article: How to give restricted rights to administrators?

As part of your internal reporting, you may need to create a role dedicated to viewing and analyzing data. 

Please note: an employee created with this role will be counted in the total number of licenses used on the account, even if they do not enter any expense reports, or have no role in validating your employees' reports.

 

To set up a role dedicated to reporting, follow these steps: from your web portal, go to Settings > Advanced settings > Users > Open the relevant user file:

You should select the accounting right (4th box), then tick ‘Read accounting history’ only and the ‘Access to data analysis’ right (5th box):

NB: an employee will only be able to access the entered data if they are involved in the report's validation process. By giving them access to the accounting history, you are therefore giving them ‘passive’ access to the reports: they will have access to the view but will not be able to intervene in it.


The prerequisites for this configuration are as follows: 

- Your validation workflow must point the ‘accounting’ step to the accounting department. Indeed, if the expense reports point to specific people named in the workflow, they will not be accessible to a third party.

Once the role has been set up, the user can use the ‘Data analysis’ tab to export and analyze all the expense reports following this validation workflow.
